International American Business & Testing, LLC, doing business through the aXount suite ("IABTT," "aXount," "we," "our," or "us"), operates Portal, Budget Story, Staff Calculator, Grant Navigator, and related aXount services.
1. Scope
This Privacy Policy applies to the aXount suite, including related websites, workflows, integrations, reports, exports, support channels, and future modules that link to this Policy. If a district or organization has a separate agreement with us, that agreement controls where it provides stronger or more specific privacy, security, retention, deletion, or student-data terms.
2. Product Modes
Individual / Unverified Mode may be used for budget data, staffing models, salary figures, grade bands, subject areas, non-identifying building labels, and aggregate student counts. It must not be used for student personally identifiable information, row-per-student records, SIS-derived records, IEPs, 504 records, discipline records, attendance records, student photos, student IDs, or other student-level education records.
District / Verified Mode is available only after aXount verifies the district tenant and district administrators provision or authorize access. In this mode, aXount may process district-authorized education records, student information, staff identifiers, salary data, building information, operational records, and related data as permitted by the applicable agreement, district authorization, and law.
3. Information We Collect
- Account and identity information, including name, email, role, organization, and account settings.
- Customer content and operational data, including budgets, staffing scenarios, grant records, line items, allocations, reports, notes, files, exports, and related workflow history.
- Student aggregate data, such as total students by building, grade or grade-band totals, classroom counts, English Learner aggregate totals, special education self-contained classroom counts, and MTSS Tier 3 aggregate counts.
- Restricted or confidential data in District / Verified Mode only, such as authorized student PII, education records, staff identifiers, salary data, and internal district operations data.
- Usage, device, diagnostic, communications, and support information, including logs, timestamps, routes used, browser/device information, feature interactions, audit logs, security events, support requests, and performance diagnostics.
4. How We Use Information
We use information to provide, maintain, secure, and improve aXount; authenticate users; manage role-based, district-based, app-based, and tier-based access; process uploaded data; generate requested reports, analyses, calculations, allocations, and exports; support cross-app workflows; provide customer support; monitor reliability, abuse, security, and compliance; enforce terms, tier limits, credit limits, and acceptable-use rules; and meet legal, regulatory, contractual, audit, retention, deletion, and incident-response obligations.
5. Cross-App Data Use
aXount is a suite. Data may move between aXount applications when needed to provide requested suite workflows, such as Staff Calculator context used in Budget Story or Grant Navigator, Grant Navigator budgets or report handoffs used in Budget Story, and Portal account, role, district, subscription, and credit data used across the suite. Cross-app data use is limited by the user's role, account tier, district authorization, product mode, and applicable agreement.
6. AI and Automated Processing
Some aXount features use assisted or automated processing to classify information, draft language, review grant allowability, generate narratives, recommend staffing considerations, produce account strings, summarize records, or support similar user-requested workflows. Customer Data is not used to train external models. Automated outputs are assistance tools, and users remain responsible for reviewing outputs before relying on them.
7. Sharing and Subprocessors
We do not sell Customer Data or student data. We do not use Customer Data or student data for targeted advertising. We may share information with subprocessors under contractual restrictions, district administrators or authorized organization users, user-authorized integrations or exports, legal or audit recipients where required, and parties needed to protect the security and integrity of aXount.
8. Student Privacy and Education Records
For District / Verified Mode, aXount is designed to support district-authorized use of education records under applicable education privacy laws and district agreements. Districts remain responsible for determining whether they have authority to provide data to aXount and for managing parent, guardian, eligible-student, and staff requests that must be handled through the district. We do not sell student data, use student data for targeted advertising, or use student data for unrelated profiling.
9. Children
aXount is intended for adult educators, administrators, finance staff, consultants, and authorized organizational users. It is not directed to children under 13, and children should not create accounts unless expressly authorized through a district-controlled implementation that satisfies applicable law and contract requirements.
10. Cookies and Similar Technologies
aXount may use cookies, local storage, session storage, and similar technologies to authenticate users, maintain sessions, remember preferences, protect accounts, measure usage, troubleshoot errors, and improve reliability. We do not use these technologies to sell Customer Data or student data or to target advertising to students.
11. Security
We use technical and organizational safeguards designed to protect information, including encryption in transit, access controls, role-based permissions, audit-oriented logging, administrative controls, and security monitoring. No system can be guaranteed perfectly secure, but aXount is designed under a least-privilege and defense-in-depth model.
12. Retention and Deletion
Retention depends on product mode, account status, subscription status, district agreement, legal requirements, and operational needs. Individual / Unverified data is retained while the account remains active and may be deleted after account closure, inactivity, violation of these policies, or a valid deletion request. District data is retained according to the applicable agreement and district retention election. De-identified retention after termination is permitted only if the district affirmatively allows it.
13. User Rights and Choices
Depending on your location, relationship to aXount, and applicable law, you may have rights to access, correct, delete, export, restrict, or object to processing of certain personal information. District users, parents, guardians, eligible students, and staff should submit education-record and district-controlled data requests through the relevant district administrator or designated district contact. Individual users may contact privacy@iabtt.com for privacy requests.
14. State Privacy Notices
Some state privacy laws require additional disclosures, such as categories of personal information collected, purposes of collection, categories of recipients, retention periods, and rights request methods. This Policy is intended to provide those disclosures at a suite level. If a state-specific notice is required, aXount may provide it as an addendum or separate notice.
15. International Data Transfers
aXount is operated primarily from the United States. If information is accessed from or transferred outside the United States, it may be processed in the United States or other locations where aXount or its service providers operate, subject to applicable contractual and legal safeguards.
16. Changes to This Policy
We may update this Privacy Policy from time to time. Material updates will be posted with a revised "Last updated" date. Where required by law or contract, we will provide additional notice or obtain consent.
